- Contact form: If you use our contact form to get in touch with us, we will ask you for personal information. In order for us to respond to your enquiry, you must provide a valid email address. Further personal details are optional.
Your details will be processed by email. For technical reasons, we cannot guarantee that your contact information will be transmitted in encrypted form. This means that there is a theoretical possibility that data could be viewed or falsified by unauthorised persons.
Data processing for the purpose of contacting us is based on your voluntary consent. By clicking on the "Send" button, you consent to the processing of your contact information for the above-mentioned purposes. If you do not agree, you must cancel the process. The contact form will not be sent and your data will not be processed.
The data entered in the contact form is therefore processed exclusively on the basis of your consent. You can revoke your consent at any time with future effect by contacting dataprotection(at)rws-tech.com .
We only use your data to the extent necessary to process your enquiries and for further correspondence with you. The data collected by us for the use of the contact form is stored by us for the purpose of processing the enquiry and in the event of follow-up questions, and is deleted in accordance with data protection regulations after your enquiry has been dealt with, unless there is another legal obligation to retain it.
- Use of email: We may use your name and email address to send you notifications, updates, invitations to events and other information by email. However, we will first ask for your consent to do so, unless we have already received your contact details from you in connection with our services. If you receive marketing communications from us and no longer wish to do so, you can unsubscribe at any time by following the link contained in these emails. We may use external service providers to find out whether you open our emails or click on the links contained therein. You can prevent this by adjusting the relevant settings in your email client.
- Newsletter: If you have given your consent to receive a newsletter, we may process your data collected in this context. When you subscribe to the free RWS newsletter, your email address and the date and time of registration are stored. The data is processed on the basis of consent in accordance with Art. 6 (1) (a) GDPR.
The only mandatory information required to send you the newsletter is your email address. We may store your email address for the purpose of delivering the newsletter. The legal basis for this is your consent. The provision of further, separately marked data and information is voluntary. This data may be used for the purpose of personalising the email newsletter and/or addressing you personally.
We have recorded your consent and are obliged to keep its content available for retrieval at any time.
If you register for an email newsletter, the personal data and information you provide and transmit to us may be electronically recorded and stored by us. The purpose of this processing is initially to carry out the so-called double opt-in procedure, with which you can consent to the regular sending of the email newsletter. The registration system with an additional confirmation message (double opt-in) prevents misuse by third parties.
This means that after you have submitted your data and information, we will send an email to the email address you have provided and ask you to confirm that you wish to receive the newsletter. If you do not confirm your registration, your data will be deleted.
After your confirmation, we will store your IP address and the time of confirmation.
The purpose of this procedure is to verify your registration for the email newsletter and, if necessary, to identify and prevent any possible misuse of your personal data. The legal basis for this is the protection of our legitimate interests or those of a third party.
Please note that we can evaluate the behaviour of readers of our email newsletter. For this evaluation, the emails sent contain so-called web beacons or tracking pixels. These web beacons or tracking pixels are single-pixel image files that are optionally provided by our service provider to measure the performance of our newsletters. The integration of the web beacon/tracking pixel and the evaluation of which links are clicked within the newsletter are carried out via the servers of the service provider Mailchimp (Mailchimp: operated by The Rocket Science Group LLC d/b/a Mailchimp, 675 Ponce de Leon Ave NE, Suite 5000, Atlanta, GA 30308 USA) and are assigned to your email address and an individual ID for statistical and analytical purposes. The legal basis is your consent.
Further information about Mailchimp and Mailchimp's privacy policy can be found at mailchimp.com/legal/privacy
This tracking does not take place if you have disabled the display of images in your email programme by default. In this case, the newsletter will not be displayed in full and you may not be able to use all functions. As soon as you display the images, the tracking described above will be activated.
The data collected during registration (email address and voluntary information) will be deleted as soon as it is no longer required for the purpose for which it was collected. This is the case after you unsubscribe from the newsletter or revoke your consent. The personal data will be irrevocably deleted. The legality of the data processing operations already carried out and data stored by us for other purposes (e.g. in the context of a customer relationship, a prize draw, etc.) remain unaffected by this.
The data and information stored via the tracking function will be stored for as long as you are subscribed to the newsletter. After you unsubscribe or revoke your consent, we will store your data purely for statistical and anonymous purposes.
- Online shop: You have the option of ordering goods from our online shop via our website as a customer or as a guest. Once you have registered, you can log in to our shop directly with your email address and password when placing future orders, without having to re-enter your contact details. Your personal data is entered into an input mask, transmitted to us and stored.
When you place an order via our website, we collect personal data from you, such as your title, first name, surname, email address, postal address and telephone number, if you register in our shop.
The processing of your personal data is necessary for the performance of the contract or for the implementation of pre-contractual measures, for the fulfilment of a legal obligation, for the protection of the legitimate interests of RWS GmbH or a third party.
Otherwise, your data will only be processed if you have given your consent. You can revoke your consent at any time with effect for the future. Your personal data will be deleted when it is no longer required for the aforementioned purposes, unless this conflicts with statutory retention obligations.
You can also place orders as a guest without registering in advance. In this case, however, you will have to re-enter your data for each additional order.
We process the information you provide when placing a guest order for the purpose of fulfilling the contract or carrying out pre-contractual measures. We store the information you provide for the duration of the processing and handling of your order. After that, your data will be deleted, unless statutory retention obligations prevent this.
We may use various services provided by service companies for the operation and optimisation of our website and our services and for contract processing. In doing so, it is necessary to pass on to these companies the data required to perform their tasks, in particular for central IT services or the hosting of our website and for the delivery of products.
When passing on your personal data in this context, we always ensure the highest possible level of security.
We assure you that these service providers have been carefully selected by us in advance and are contractually bound. If a company works for us on a contract processing basis (e.g. for hosting the website), we ensure that appropriate data protection precautions and data security measures have been agreed with the companies we commission. We pass on the personal data necessary for the delivery of ordered goods, such as first name, surname and address, to logistics companies and the parcel/postal service providers specified in the order, such as DHL, DPD, UPS and Hermes. This is necessary in particular for the fulfilment of contracts and to safeguard our legitimate interests or those of a third party.
- PayPal as a payment method: If you choose to pay using the online payment service provider PayPal during the ordering process, your contact details will be transmitted to PayPal as part of the order you have placed. PayPal is a service provided by PayPal (Europe) S.à.r.l. & Cie. S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg. PayPal acts as an online payment service provider and trustee and offers buyer protection services.
The personal data transmitted to PayPal usually includes your first name, last name, address, telephone number, IP address, email address, or other data necessary for order processing, as well as data related to the order, such as the number of items, item number, invoice amount and taxes as a percentage, invoice information, etc.
This transfer is necessary to process your order using your chosen payment method, in particular to confirm your identity, to administer your payment and the customer relationship.
Please note that PayPal may also pass on personal data to service providers, subcontractors or other affiliated companies to the extent necessary to fulfil the contractual obligations arising from your order or if the personal data is to be processed on behalf of PayPal.
Depending on the payment method selected via PayPal (e.g. invoice or direct debit), the personal data transmitted to PayPal will be transferred by PayPal to credit agencies.
This transfer serves to verify your identity and creditworthiness in relation to the order you have placed. You can find out which credit agencies are involved and what data PayPal generally processes in PayPal's privacy policy at https://www.paypal.com/en/webapps/mpp/ua/privacy-full.

In this case, we collect device-specific data during your registration and ask you to enter your name and email address when you log in.
- Customer events: When we hold customer events (such as promotional events, sponsorship events, cultural events and sporting events), we may also process personal data.
This data may include the name and address of participants or interested parties and, depending on the event, other data such as your date of birth.
We may process this information for the purpose of holding customer events, but also to contact you and get to know you better. Further details can be found in the relevant terms and conditions of participation.
- Business partners: RWS GmbH works with various companies and business partners, such as suppliers, commercial customers of goods and services, and service providers (e.g. IT service providers). We may process personal data about the contact persons of these companies , such as their name, position, all citizenships (including former citizenships), nationality(ies) (including former nationalities), residence permit(s) and place of residence, and title.
Depending on the area of activity, we may be obliged to thoroughly check the relevant company and/or its employees.
If this is the case, we will notify you separately. We may then process personal data about you in order to improve our customer focus, customer satisfaction and customer loyalty ("customer relationship management").
- Administration: We may process personal data for our internal company administration. For example, we may process personal data in connection with IT or property management. We may also process personal data for accounting and archiving purposes and, in general, for reviewing and improving internal processes.
- Corporate transactions: Personal data may also be processed for the preparation and handling of corporate and other transactions.
- Job applications: We may also process personal data when you apply for a job with us. In general, we require the usual information and documents, as well as the information specified in the job advertisement. Please read our privacy policy for applicants (link provided above). - Employment relationship: We process the personal data of our employees within the scope of their employment relationship. In this context, a specific RWS GmbH privacy policy for employees applies.
- Compliance with legal requirements: We may process personal data in order to comply with legal requirements. This includes, for example, the operation of a whistleblowing system for reports of suspected misconduct, internal investigations or the disclosure of documents to an authority if we are required to do so for important reasons or even due to a legal obligation. In this context, we may process names and documents or descriptions relating to you or third parties.
- Protection of rights: In order to protect our rights, we may process personal data in various circumstances, for example to assert claims in or out of court or to defend claims against us. For example, we may seek clarification of the prospects of litigation or submit documents to an authority. In addition, authorities may require us to disclose documents containing personal data.
We process personal data based on the following principles:

- on the basis of consent, if this is obtained separately, and
- to comply with legal and regulatory obligations.
In general, you are not obliged to disclose personal data to us. However, we need to collect and process certain data in order to conclude and fulfil a contract, as well as for other purposes.
